Greentree Release Autoscan
Module
Greentree has recently
released a module called Autoscan. Autoscan provides for
electronic storage of source documentation such as accounts
payable invoices, proof of deliveries, etc. These electronic
files are fully cross referenced to the relevant Greentree
database record. Source documents are barcoded, either with
automatically generated barcodes by Greentree or preprinted bar
codes. These source documents are then scanned in bulk and
processed by Autoscan. The automated technology in Autoscan
identifies the bar code on each page of the source documentation
and automatically separates the image and attaches it
electronically to the related Greentree business database
record.
Autoscan preferences and module control settings allow you to
define which Greentree Record Types make use of Barcoding. If
optional or compulsory for a Record Type, then a dialogue is
displayed when a new record is created which allows you to enter
the barcode. If Autoscan is in use a Barcode field is available
on Greentree Attachments. When an attachment is created for a
barcoded record type, then you need to enter a Barcode or you
can make use of an automatically generated barcode.

Crombie and Price
Oamaru-based
healthcare and food product distributor Crombie and Price needed to
overhaul its facilities to improve efficiency, cut costs, and
upgrade its operations. The company needed a solution to digitise
its workplace and warehousing. An aging Attaché accounting system
was no longer up to the job, and it could not interface to bar-code
scanning systems needed to automate warehouse processes.
Solution
Enabling delivered
an enterprise resource planning (ERP) solution based on Microsoft
Dynamics AX, replacing the old accounting software. Among the
critical requirements were reduced monthly processing, real time
sales reporting, flexible management reporting and capability to
handle Crombie’s requirement for dual invoicing, where income for an
item might be a mixture of government and private funding—since
every prescription item sold has some amount of subsidy. This
required substantial customisation.
“We created a
specification, and then went through a three day workshop with
Enabling, walking through the design,” says Crombie Operations
Manager, Trevor Lee. “We worked through all of the processes, one
module at a time, matching specification to implementation details
as well as learning about all the features.” Other requirements
included a need for standardised business processes and transparent
operation to support succession management, plus better handling of
enquiries from users. Business processes were to be improved through
more accurate and timely information. In the warehouse, picking
routes for taking items from shelves needed to be optimised for
immediate benefits and also to pave the way for an automated system
in the future.

Tips and Tricks
Tip 1) Sage CRM Tip:
How can I add a custom Dashboard to My CRM?
A custom
Dashboard lets you display the information you access most often on one
single screen. You can display lists of accounts, list of opportunities,
report charts, saved searches with lists of opportunities or cases
meeting certain criteria (e.g. high priority, cases due next week, cases
closed last month).
You can have more
than one Dashboard for each user, just use the drop down on the Top Left
of the Dashboard screen to select the Dashboard you want to use.
Dashboards can be setup by Admin users and customised by each user under
My CRM. For further details, refer to the CRM User Guide.
Tip 2)
Sage
Accpac Tip:
Automate
account reconciliation by importing bank and credit card statements.
If your
bank offers online services that support the Open Financial Exchange (OFX)
data format then you are about to become friends with true productivity.
Assuming you have AP, AR and bank services activated, you will need to
open the banks dialog box to check that you have entered the correct
numbers in the bank account field (no punctuation, no dashes, and no
spaces) and in the transit number field for each bank that has a
statement you will download. Now, from the bank reconciliation folder,
click File, Import, and then select downloaded bank statements and click
OK.
Tip 3) Sage
Timberline Tip:How
to save a report as an Excel spreadsheet?
In Sage Timberline Office Accounting and Management CD version 9.4.0 and
later, you can export reports to a Microsoft Office Excel Workbook (*.xls):
-
From
the Reports menu of any application, select the report.
-
In the
Print Selection window, click [Printer Setup].
-
Select the
Print to file check box, and then click [Select File].
-
Browse to the
folder in which you want to save the file and enter the file name.
-
In the
Save as type list, select Microsoft Office Excel Workbook (*.xls),
and then click [Save].
-
Click [OK],
and then click [Start].
Tip 4) Sage CRM Tip:
Save time and money with SKYPE
Does
your CRM system look like this? Can you easily save money using SKYPE to
talk to all of your contacts?

Installing
the SKYPE plug-in for internet explorer gives you direct dial
functionality in CRM. What it does is examines all the screen content
of your browser window and if it identifies a phone number it configures
that number as a hyperlink which it can dial using SKYPE out
functionality. And the best part is, other than the skype out credits
to actually make the call the rest is free.

Enabling
is a company that values their employees, when new arrive we like to
welcome them with a celebration and when others leave we show our
appreciation by throwing them a celebration (we like to celebrate).
So as part of our quarterly news letter we would like to pay tribute
to our departing colleagues and introduce our new members of the
team.
Hello
Hello
and a big welcome to Wendy Thompson, Dileep Kizhakinkara, Amit Patil
and Joanne Little – who have all joined as new team members in the
Melbourne office.
Enabling NZ welcomes to
Altamash Askari, Roberto Tan, Jonaid Alam to the ever growing
Dynamics Ax team. We also have Jos Adams who joined the company
recently is again on the move, not offices, this time she is joining
the sales team in Auckland.
And a big g'day mate to our first US employee
Scott Drushella who is charge of Enabling NA.
Goodbye
The
Melbourne office was very sad to farewell
Darren Smith who has been a valued member of the team for over 5
years. We sent him off in style at the Strike bowling alley last
Thursday evening, and we may have even let him win! Darren and his
family have decided to make a green-change and are moving to
Rutherglen, the wine centre of Victoria, to run a small hotel. We
are happy to report that Darren has offered his expertise in a
number of areas on an ongoing basis so be sure to keep an eye out……
The Brisbane
office recently said farewell to Mike Drewek who has been their
Timberline salesman for the last 7 years. Mike who has been an
integral part of the office, decided that he would fulfil his life
long dream of becoming a writer and now that his mortgage was paid
off thought it was time to give it a go. We sent Mike off with nice
Friday lunch and some celebration drinks and we wish him the best in
his new career.
Martin Trumpelmann will be leaving Enabling NZ to pursue other
opportunities; Martin joined Enabling with the acquisition of Server
Group - some three years - and has been heavily involved in the
successful transition of many of the DOS clients to the Sage Accpac
windows product in Auckland. He goes with our thanks for his all
efforts and we extend our best wishes to him and his family for the
future.
Reduce your Stress:
Here at Enabling we find that things work better
around the office when the stress levels are down and people are
actually happy when they are at work. So we thought we might share
some of our stress reducing tips so that you can make your office
just that little bit better to work at. :)
Five
ways to instantly fix your work stress
1. View your current crisis as a challenge. This
will turn it into an adventure rather than a disaster.
2. Don’t panic. If you're calm, the people around you are likely to
stay calm too, which will relax you later on. Taking yourself away
from where you are (try a walk around the block) can get
rid of physical stress.
3. Talk to other people, especially people who have experienced
something similar and may have ideas about practical solutions.
4. Decide what's within your power to change, and focus on that.
Taking action will help stop you worrying, as you'll feel you’re on
the road to sorting out the problem.
5. Things may feel grim now but remember that the crisis will finish
and this stress is short term. If you remember there will be an end,
it’s easier to get through the problem now.
Biscuits for Blood:
Melbourne
In late
July, five members of the Enabling team braved a frosty Melbourne
evening to donate blood. With 4 newcomers and one experienced
campaigner there was plenty of moral support and we’re happy to
report that apart from one case of near-hypothermia (
Sarah), all went well and we’re on schedule for our next donation in
September. We would encourage everyone to seek out their closest Red
Cross donor centre and give up a pint or two. Please note for that
for your efforts you do get rewarded with lollies, cheese and
biscuits!
Brisbane
The Brisbane office has
continued their proud tradition on of giving blood with five members
making their 4th visit this year. The co-operation of the Enabling
management to allow their staff to take time off work to give blood
is testimony to the importance placed on this quarterly event. With
Steve the Red Cross bus driver ready to pick you up from your office
and deliver to the donation centre it just couldn't be easier. Plus
they give you a good feed before you leave which is always a good
thing.
